Reporting to the Director, Total Rewards, the Manager, HR Operations will be accountable for the systems, processes, internal controls, data privacy requirements, and records management processes for all Trans Mountain workforce information. The role will also hold functional leadership accountability for Payroll, HRIS, and HR Operations.
This role is classified as “Office First” under the company’s Where We Work policy, and the successful incumbent will work full-time out of the company’s Calgary office.
Key Responsibilities Include:
- Establish and maintain a high-performance and engaging culture within Payroll and HR Operations, fostering collaboration and innovation.
- Identify areas and opportunities for efficiency and work collaboratively with both the HR team and the IT department to implement.
- Optimize HR technology and identify opportunities to streamline HR Operations through automation and system enhancements.
- Collaborate with IT and external vendors to optimize HR technology solutions
- Serve as a focal point of contact for escalation of challenging operational or service delivery issues and communicating/resolving/coordination of issue resolution with other teams.
- Support the team in fostering and building collaborative, supportive relationships with assigned clients and providing high-level customer service.
- Ensure excellence in operational delivery and support to leaders and employees in alignment with overall company business strategies.
- Build strong working relationships within the team and with HR leaders to ensure the function is delivering value.
- Analyze HR operations and payroll workflows and identify areas for improvement or enhancement. Ensure core HR systems are optimally configured for maximum efficiency, performance, and data accuracy.
- Provide expert advice and strategic guidance on complex HR systems and operational matters to HR leadership, and collaborate effectively with IT leadership to effectively implement solutions.
- Ensure compliance with all relevant employment/payroll/privacy laws, regulations, and company policies. Enhance policies and practices to further improve compliance.
- Provide management oversight of the Payroll function, ensuring accurate and timely processing of salary, benefits, taxes, remittances, and other deductions in compliance with company policies and legal requirements in Canada and the U.S.
- Ensure accurate, efficient, and systematic record keeping.
- Liaise with auditors and manage payroll audits, in partnership with Payroll Lead.
- Develop and implement HR operational strategies, policies, and procedures that align with the company’s goals and enhance operational efficiency.
- Develop and implement strategies to streamline HR operations, increase data accuracy, and enhance service delivery in key employee lifecycle processes (hiring, onboarding, worker changes, terminations, offboarding).
- Support related change management solutions
Qualifications and Desired Skills
- Experience managing/overseeing Canadian/US payroll an asset.
- Bachelor’s degree in a related field.
- 10+ years of related and progressive experience with an impeccable record.
- Proven experience (over 5 years) in leading successful and engaged HR teams and managing HR Operations/HRIS functions.
- Must be analytical with a quantitative mindset.
- Strong problem-solving, project management and strategic thinking capability.
- Strong communication and presentation skills when working with high-level internal stakeholders.
- Ability to influence and develop collaborative working relationships with multiple partners.
- Ability to thrive in a fast-paced, multi-tasking environment.
- Strong analytical and problem-solving abilities, with a data-driven approach to decision-making.
- High attention to detail, with the ability to manage multiple priorities effectively.
- Demonstrates a high level of emotional and situational awareness and can navigate complex human challenges.
- Excellent active listening and conflict resolution skills.
- Experience with HRIS and/or Payroll systems implementation.
- Excellent interpersonal skills, ability, and passion for connecting and developing rapport with a variety of people and inspire and influence others across diverse demographics and perspectives.
- Ability to act with tact, good judgement, discretion and a high standard for stewardship in maintaining confidentiality and privacy of all data and information.
- Positive approach, outlook, and attitude to identify opportunities and effectively solve problems.
- Strong verbal and written communication, presentation and business writing skills, and strong executive presence with great attention to details.
- Ability to work independently with strong time management and ability to execute on multiple concurrent deliverables with a sense of urgency.
- A critical thinker with a demonstrated ability to manage projects, develop workflows, project plans and delegate accordingly to ensure projects meet the agreed upon deadlines.
- Ability to cultivate meaningful relationships and work effectively with cross-functional teams while remaining decisive and displaying sound judgement.
- Experience with Microsoft D365 and/or ADP Workforce Now an asset.
- Knowledge of Canada Labour Code an asset.
