The Team Lead, HR Operations and Systems leads the HR operations team, managing daily lifecycle transactions, overseeing HR systems and data, ensuring legal compliance, and acting as a point of contact for employees and managers. This role requires strong leadership, technical skills for HR systems, and a strategic mindset to improve HR processes and support business objectives.
This position will be located at our Calgary Head office and is an office-based position, and reports to the Manager, HR Operations.
Key Responsibilities
- Team leadership: Lead, coach, and motivate the HR operations team to achieve service standards and engagement goals.
- System Management & Optimization: Oversee the daily operations, maintenance, and configuration of the HRIS platform (e.g., SAP SuccessFactors, Microsoft D365, etc.). Lead system upgrades, new module implementations, and integrations with other enterprise systems (payroll, finance, etc.).
- Process Optimization: Streamline HR workflows (recruitment, onboarding, data management) through automation and best practices, ensuring data accuracy and compliance.
- Data Governance & Integrity: Develop and implement policies and procedures for HRIS usage, ensuring the accuracy, security, and integrity of employee data through regular audits and data cleansing processes.
- Troubleshooting & User Support: Serve as the primary point of contact and subject matter expert for all HRIS-related inquiries and issues, providing technical support and troubleshooting to HR staff and end-users.
- Project & Change Management: Lead cross-functional HRIS projects, including needs gathering, system testing (UAT), documentation, and change management initiatives to ensure smooth transitions and user adoption.
- Compliance & Security: Ensure all HR systems and data management practices comply with relevant labor laws and data privacy regulations (e.g., GDPR, CCPA). Implement robust security measures and access controls.
- Training & Documentation: Develop and deliver training programs, user guides, and standard operating procedures (SOPs) for HRIS users across the organization.
- Strategic improvement: Analyze HR data to identify trends, suggest process improvements, and recommend new technologies to enhance efficiency.
Qualifications & Skills
- Bachelor's degree in Human Resources, Information Technology, Business Administration, or a related field is required.
- Minimum of 10 years of experience, including at least 3 years in a supervisory or team lead role.
- Extensive leadership experience in HRIS or HR Operations, with a proven track record in system implementation, configuration, process optimization, and data governance within complex organizations.
- Expertise in leading HRIS platforms; strong data analysis capabilities; proficiency with reporting and visualization tools (e.g. Power BI, Excel); and solid understanding of database management, system integrations, and APIs.
- Collaborative leader with a passion for mentoring, coaching, leading, fostering teamwork and guiding others; capable in navigating and facilitating difficult conversations.
- Strong analytical mindset to resolve complex issues and make data-driven decisions.
- Exceptional relationship-building and collaboration capabilities combined with clear and effective verbal and written communication across all levels of the organization.
- Ensures accuracy in data and compliance in all policies, processes and documentation.
- Highly organized, adept at planning, prioritizing, and executing multiple initiatives effectively.
- Maintains the highest standards of integrity when handling sensitive information, Handles sensitive information with confidentiality and professionalism.
- Thrives under pressure, adept at managing strict deadlines and shifting priorities in a fast-paced, agile, dynamic, and multi-tasking environment.
