Trans Mountain is seeking a collaborative, motivated, and values-driven individual to join our dynamic team as HR Coordinator. In this role, you will provide critical administrative and operational support to all of the HR functions. The role is responsible for ensuring the efficient coordination of HR activities, maintaining the integrity of HR documentation and processes, and facilitating effective communication with internal and external stakeholders. With a focus on accuracy, professionalism, and service excellence, this position contributes to the smooth delivery of HR programs and supports consistent, compliant, and well‑executed HR operations across the organization
Key Responsibilities
- Provide administrative support to the HR team, including maintaining/enhancing e‑files, preparing presentations, and drafting correspondence.
- Support the HR team through the employee lifecycle, including submitting onboarding/offboarding tickets (with IT, facilities and HRIS teams) and preparing correspondence.
- Monitor workflow and process activities for employees and contractors to ensure the HR Business Partner (HRBP) team is aware of upcoming actions.
- Provide administrative support to the benefits team, including invoice review and remittance preparation for third‑party vendors (savings plan, benefits, pension).
- Support the compensation team with calendar management and preparation of meeting materials.
- Provide cross‑functional recruitment support, including posting positions, tracking recruitment collateral, preparing new‑hire gifts, and supporting onboarding sessions.
- Support training initiatives, including scheduling, sending reminders, tracking attendance, booking rooms, and preparing materials.
- Develop and maintain internal HR process documents, such as invoice workflows and training‑tracking procedures.
- Conduct research on HR‑related topics and support HR initiatives and programs.
- Maintain documentation and records, ensuring accurate file management and document control.
- Provide general administrative support, including calendar management, meeting material preparation, travel coordination, and expense processing.
- Support budget administration, including invoice attestation, tracking, payment processing, and maintaining budget documents.
- Assist with HR projects and initiatives as needed.
- Respond to general inquiries and provide information or assistance as required.
- Serve as backup to other team HR members as needed.
Qualifications and Professional Experience
- Post-secondary education in Human Resources, Business, Office Administration, or related discipline.
- Certified Human Resources Professional (CHRP) is considered an asset.
- Minimum 3 years of progressive experience.
- Fluent in Microsoft Applications with advanced proficiency in Excel and PowerPoint.
- Knowledge of Microsoft Dynamics 365 HCM, Success Factors, or equivalent experience would be an asset.
- Knowledge of Power BI would be considered an asset.
- Commitment to continuous learning and improvement.
- Experience in HR administrative support functions related to all aspects of the employee lifecycle.
- Exceptional organizational skills with the ability to coordinate and progress a high volume of tasks.
- Strong analytical skills and data visualization skills.
- Resourceful and able to learn quickly.
- Agile with changes in workflow and volume of requests.
- Strong attention to detail, able to meet deadlines and adjust to changing priorities.
- Maintains confidentiality, calm under pressure and demonstrates a high level of professionalism.
